Your data, however, is stored in third party systems used for the purposes of hosting and operating the website and related services, including emails.

Data stored and processed via these services is protected by the security measures made available by the service provider. This includes, where available, two-factor authentication to website and email access. Computers, tablets and phones used by us to operate our website, respond to enquiries and send out any other communications are password or passcode-protected. Where possible, hard drives have been encrypted, and devices are kept up-to-date to ensure the latest security updates are installed.

Direct data collection on our website is limited to your name and email address. Any data submitted via the website is sent to us via email for processing. Additional data that you provide using the contact form is processed in the same way.

Over the course of any collaboration or project, paid or unpaid, additional information may be collected including your address, phone/mobile number. In some cases, we may also collect your bank or credit or debit card details via a secure online payment system.

If applicable, we will also store and process information about whether you wish to receive newsletters and other marketing or promotional materials from us and the types of communication you would like to receive.

Through Squarespace’s Activity Log Analytics, we also collect the following for each page visit:

  • Date

  • Time

  • IP address

  • Referrer

  • Browser version

  • Operating system

  • Geographic location of the IP address

  • How visitors in specific locations found our site

Records in the Activity Log are retained for seven days.

Data Retention

We retain any data associated with any financial transactions for a minimum of six years as required by UK law. This is normally limited to your name, address and contact details. In some cases, this may also include your bank or credit or debit card details.

Any data collected and stored for the purposes of responding to enquiries and sending you newsletters and other marketing or promotional materials will be kept by us until you notify us that you no longer wish to receive this information.

Records in the Activity Log are retained for seven days.

Your Rights

Under current legislation, you have the following rights:

  • To access any information held by us about you (also referred to as ‘subject access request’).

  • To have any inaccurate information we hold about your corrected.

  • To have personal data we hold about your deleted.

You can exercise your rights verbally or by contacting us. If your request is received verbally, we will confirm receipt of the verbal request via email.

Any request will be processed within one month of receipt.

Where we are legally required to retain your data beyond your request for us to delete it (e.g. financial records), we will inform you accordingly and ensure your data is deleted as soon as we are no longer legally required to retain it.
